This media policy outlines Indoor Hockey UK Ltd. ("we", "our", or "the Company") practices with respect to photos and videos captured at our events by the official photographers and videographers. This policy applies to all Sites and Services from the Company including the trading styles #indoorhockeyUK, HockeyUK Group and My HockeyUK. This policy does not cover photos, videos, audio or other media captured by other people attending our events or activities.
We have not appointed a Data Protection Officer to oversee our compliance with data protection laws [as we are not required to do so] but our Board of Directors have overall responsibility for data protection compliance in our organisation.
We collect personal information in the form of your appearance, voice and distinguishing features through action shot photos, photoshoots, recording video and recording audio, and we may also ask to collect identifiable data to allow us to track you in our systems, such as your name and contact details.
All information will be used in line with this Media Policy and the Indoor Hockey UK Privacy Policy.
We will use photos, video and/or audio in our marketing materials to promote events and other organisation activity. It may also be used for research, teaching and reputational promotion for Indoor Hockey UK.
Media may be published online, in print, used in promotional material at events or in advertising and broadcast.
We may share personal information with partner organisations where they are using data for compatible purposes.
We may use your personal details to personalise photos, videos or audio we take of you but we will only include this if you agree to it. Otherwise, we will only use your details to identify you within our system to help us ensure your right to erasure.
If you do not consent to your name, social media handle or other information being published, the media may still be used but you will not be identified.
Image data may be retained in perpertuity as historical and archival records of Indoor Hockey UK. Where image data is determined to be not appropriate for these purposes, it will be securely destroyed.
Indoor Hockey UK may share the media featuring you with affiliated organisations, sponsors or partners as well as third party companies including professional photographers, videographers, design agencies and printing and broadcast services.
We may also share data with third parties where they use the data for purposes compatible with the purposes for which the information was originally collected, for example promotion of indoor hockey activity.
Sometimes we may wish to pass on photographers and video to the press for wider publication in stories relating to Indoor Hockey UK.
Under GDPR, photos, videos and audio featuring you is classed as data. Therefore, the GDPR provides you, as a data subject, with a number of rights in relation to your personal data. You have the right to:
- withdraw your consent where that is the legal basis of our processing
- access your personal data that we are processing
- have inaccuracies in the personal data that we hold about you rectified
-be forgotten
- request that the processing of your personal data be restricted
- obtain a copy of your personal data in commonly used electronic form portability
- object to certain processing activities
- complain to the Information Commissioner's Office about the way we process your personal data
